Motioned: Eva Martens

Board Business:
Vote of Executive Director Team: Secretary Role – Sarah Matacic
Treasurer Role – Open
All in favour of appointment of Sarah Matacic: Subbu Subramonian, Eva Martens, and Sarah Matacic. **Upon review, this appointment needs to be approved by the board at March meeting due to lack of quorum of voting board members**
Safety Report – J. Foreman
Nothing of note to report except the RBC ATM will be locking at 5pm due to squatters.
Events Committee:
Hiring of event & volunteer coordinator for Streetfest: Louise Noel-Ambrose with EventtoBe was hired as the event & volunteer coordinator for last years streetfest. It would be an approximate cost of $3000, this is an estimate based on last years contract and could change with increased responsibilities this year. Louise is very experienced, she has over 20 years in event planning and hospitality, especially working with our BIA from last year.
Executive Director Updates – A. Chavez
Action Plan Update: Restructuring of monthly Board meetings to be more decision based and used for discussion. Sending out via email opportunities and reports to the board ahead of the meeting for review and go into the meeting with everyone already knowing the information to make decisions quicker.
Training Hours: More information and numbers to present to the board to make an informed decision. The cost would be $45/hour and we could start with an additional 10 hours, which would cost $450, then reassess with the board if we feel the need for more. These hours would be used for support with any questions or concerns involving the planning and executing of the events for the year, especially with Sidewalk Sounds and Streetfest. It would be greatly beneficial to have a good support in place for the Board while going into this new term with nearly a completely new board of directors.
